How to use PDF to Excel
- Add a text-based PDF. Scans need OCR first.
- Select Convert to Excel.
- Download the XLSX and open it in Excel, LibreOffice Calc or Google Sheets.
- Check column alignment and convert text to numbers where needed.
How rows and columns are found
- Line by line: For each page, VelloDoc reads the text line by line. Every line with text becomes a row on that page's worksheet.
- How cells are split: A line is split into cells wherever there's a tab or two or more spaces in a row, since that's how many PDFs lay out table columns.
- Where it works best: It works best on simple, evenly spaced tables.
- What it doesn't detect: It doesn't detect table borders, merged cells or text that wraps inside a cell. It can end up on separate rows.
Cleaning up the result
- Values arrive as text: All values arrive as text, so numbers need converting before formulas will add them up. Spreadsheet programs offer a convert-to-number option for selected cells.
- Columns can shift on rows where a value is missing, because an empty cell leaves no text to mark its place.
- Sort, filter and compare: Sorting, filtering and a quick side-by-side check against the PDF catch most problems.
- Ask for the CSV instead: When the data originally came from a system export, asking for the CSV is always more reliable.
Scans and alternatives
- Scanned statements have no text layer, so run OCR PDF before converting, and expect a few misread digits.

Why are my numbers stored as text?
Values are copied exactly as they appear, as text. Use your spreadsheet's convert-to-number option to make them calculable.
Why is the workbook empty?
The PDF is probably a scan without a text layer. Run OCR PDF first, then convert again.
Why is this tool unavailable on some servers?
It needs the openpyxl package on the server. When it's missing, the tool reports that clearly.
