Spreadsheets are built for working, not reading. Sending an XLSX invites someone to scroll through hidden columns, change a formula by accident or open it in software that shows it differently. Excel to PDF turns the workbook into fixed pages, so an invoice, budget or report arrives looking exactly like a set of printed sheets.
How to use Excel to PDF
- In Excel, set a print area and page orientation on each sheet that matters.
- Add the XLS or XLSX file.
- Select Convert to PDF.
- Download the PDF and check that wide tables aren't split awkwardly across pages.
Print settings decide the pages
A PDF made from a spreadsheet is essentially a printout.
- The saved page setup is followed: LibreOffice follows the page setup saved in the workbook: print areas, orientation, scaling and repeated header rows.
- Without a print area: A sheet with no print area and many columns is split across as many pages as it needs, often separating columns from their row labels.
- The single best fix: Setting landscape orientation and fit-to-width scaling in Excel before converting is the most effective way to get readable pages.

- Visible sheets in order: Every visible sheet is converted in workbook order, with cell formatting, borders, number formats and charts.
- Formulas show results: Formulas are shown as their results instead of as formulas.
- Hidden content is skipped: Hidden sheets, rows and columns are left out, just as they would be when printing.
- Interactive features like filter drop-downs and slicers carry no function on a static page, so they appear at most as they look, not as working controls.
Sharing numbers safely
- It discourages edits, not copying: A PDF discourages casual edits, but anyone can still copy figures out of it.
- Hidden isn't deleted: Hidden sheets aren't exported to the PDF, yet hidden isn't the same as deleted in the workbook, so never send the XLSX itself when it contains sensitive sheets.
- For raw data instead of presentation, CSV to PDF renders a plain table, and PDF to Excel pulls rows back out of a PDF.

Limitations to know
Excel to PDF needs LibreOffice on the server and relies on the workbook's print settings, so sheets without them can split awkwardly. Hidden sheets are skipped, interactive features become static, and fonts the server lacks are substituted.

Why is my spreadsheet split across so many pages?
The sheet is wider or longer than one page at its current print settings. In Excel, set a print area, switch to landscape and choose to fit all columns on one page, then convert again.
Are all sheets converted?
All visible sheets are converted, in the order they appear in the workbook. Hidden sheets are skipped.
Will formulas appear in the PDF?
No. Cells show their results as values, the same as a printout, so readers see the numbers but not how they were calculated.
Why is this tool unavailable on some servers?
Spreadsheet conversion needs LibreOffice installed on the server. When it's missing, the tool reports that instead of producing a broken file.
